OET Meeting Minutes - 04/09/07

The meeting was held at Chris' farm at 6:00pm. Julie Memler gave a jumping demo on her horse Hootie. (Which by the way just floats over the jumps.) After she was done jumping she answered any questions that we had. If you weren't there you missed a great demonstration.

We got some feedback from Mrs. West concerning getting a non-profit status for the club. We need adult officers for the club as well, so the parents volunteered and we now have officers. (I don't know who they are.)

The entry forms for the show were handed out. The forms are to back with Chris by April 21, 2007.there is a mailbox on the tack room door that you may put it in, or you can mail it, or you can give it to her personally. Check the website, cuz we are trying to put the form on line also.

We are still trying to get the meetings announced to the schools. This has been very difficult ---at least at the High School level.

We signed the girls up for the committees that they will be working on before the shows.

Tried to discuss the fundraisers, and some of the suggestions were: Selling T-Shirts at the show, Selling baked goods, car wash, and a dog wash. For the bake sale we plan for it to be on May 19, 2007. Everyone in the club must bake something. We will know by the April 21st if May 19th will be a good date.

Talked about the team logo. The colors are blue and gold. If your logo gets chosen then you will be getting a free lesson. We also discussed doing some volunteer work as a club. By the end of the year all of the girls must have at least five hours of volunteer work at Butterfly Dreams Farms. (May or may not be with horses.)

The work day for the show will be on April 21. You must go to the work day to go to the show. If this day is not good for someone, be sure and contact Julie or Chris. On the work day you may bring your horse to see if it is appropriate for other people to ride. You may also recruit other horses for this purpose, just be sure everyone who donates a horse understands that is free, no payments. The show will be on May 5th. The limit of classes that day is 3. The show will start around 10 and end around 2. You must have on a collared shirt, heeled boots, gloves, and a helmet at the show. (You may wear show clothes if you want.)

OET Meeting Minutes - 04/09/07

The meeting started at 6:00pm with a jumping demonstration from Coach Julie Memler and her horse. Julie had 5 jumps setup and rode different patterns to explain some jumping terms to the girls. After the demonstration, Julie answered all questions.

The meeting started at 6:30 with the following topics of conversation:

Non-profit status: Kandyce West discussed getting our club a non profit status and told us her employer would be willing to handle the paperwork for approximately $100.00.

Committees for the show: Chris Pritchard asked the girls to choose which committee they would work on for the May 5th show. They chose either grounds crew or entry/office crew. The grounds crew will be responsible for getting the farm setup for the show and the office crew will handle the entries and any paperwork.

Work Day: A work day is scheduled for Saturday, April 21, 2007 @10:00am at the farm. All members are expected to attend. This is our day to get the farm ready for the show. Anyone that has a horse that will be used in the show needs to bring them on the 21st so they can be evaluated by the coaches. If members don’t have transportation for their horse they can call Chris to make arrangements.

* Anyone unable to attend this work day will be expected to help with the final set-up on May 3rd and 4th. Parents are encouraged to attend.

Fund Raisers: Several ideas were discussed for raising money for the club. The girls voted on a bake sale at either Oconee State Bank or the Farmers Market in downtown Watkinsville. Gail Smith will find out if we can reserve May 19th at one of the locations. All of the girls will make and wrap baked goods to sell even if they are not able to attend the sale.

We also may hold a carwash this summer at Walmart. No date was set.

Team Logo: The girls were reminded to bring any logo artwork to the work day on April 21, 2007. The members will vote on a logo for the team and the person with the winning entry will get a free lesson.

Entry Forms: Entry forms for the show were handed out and discussed. If there are any questions, they should be directed to Chris Pritchard for dressage and to Julie Memler for hunter and western. Entries are due by Saturday, April 21, 2007. Members need to have had two lessons with one of the coaches before the show. They are encouraged not to wait until the last minute to schedule their lessons.

Parent Meeting: The parents (moms) had a brief meeting to vote on adult officers for the club.

OET Meeting Minutes - 03/13/07

The meeting opened with Julie Memler discussing some dressage terminology.  Chris Pritchard performed some of the dressage movements for the team on Pam-A-Lam, a PSG Hanoverian mare.  After the demonstration by Chris and Pam-A-Lam, the team members did a walk trot dressage test on foot.

Topics of discussion included:

Obtaining a Non- Profit Designation:  We need this in order to open a bank account and be able to accept donated tack and horses for the team.
Mrs. West works for an attorney and will look into starting the process of becoming a non-profit organization.  She will report back at next months meeting.

Team Shirts:  Team shirts are on hold for the moment until we are able to get a bank account set up and have sponsors to help with the cost.

Ratings:  Those members present that had not been rated for the team got on the schedule to be rated.  Anyone not present at the meeting needs to contact Chris Pritchard for Dressage and Western Pleasure ratings and Julie Memler for Hunter ratings. 

Inter-squad Show:  We scheduled the first show for Saturday May, 5th with May 6th as the rain date.  This show will be for team members only.  We need volunteers to help run the show and this can be done by members and non members.  There will be a show prize list available at our April 9th meeting.  Anyone wishing to show will need to have entries in by April 25th.

Show Set –up Meeting:  We scheduled a show “set- up day” for Saturday, April 28th from 9-12 at Greenbriar Creek Stables.  Please plan to bring your horse if you have one suitable to use in the show, i.e. safe and trained in one of the disciplines we will compete in.  One of the coaches will have to rate the horses that will be used in the show.  If anyone needs transportation for their horse they can contact Chris Pritchard.  706-769-9114

Spring Break Camp:  The camp has been canceled due to so many families being out of town that week.  Chris and Julie will be available for lessons during the week of Spring break and strongly suggest riders start to get their pre show lessons in if they plan on riding in the May 5th show.  All riders that plan to show May 5th are required to have 2 lessons prior to the show.  (rating lessons do not count toward this requirement)

Fund Raisers:  We discussed the need for fundraisers to help with the cost of becoming a non profit organization. Several ideas were brought up including; selling Krispy Kream doughnuts, selling coffee, hosting an open show and running concession stands at local shows.
 
Announcements at all (4) Schools:  Rebecca Case, Chrissy Crockett, Lindsey Brannon, Julie Memler, Catherine Smith and Brittany Elliott have volunteered to get our next meeting announced and added to the schools website.  The announcement is to go in the week before Spring Break and also the day of our next meeting, April 9th. 

The next meeting will be held on April 9, 2007 , 6:00pm at Greenbriar Creek Stables.  Julie Memler will give a jumping demonstration. 
Chris asked that the girls think about fundraisers, what duties they want to do for the show (ground crew or office duties) and to start thinking about a team logo.
